Facilities & Commercial Co-ordinator

A client of mine in East London is looking for a Facilities & Commercial Co-ordinator to join their team for a period of 4 months who will co-ordinate support to the Facilities and Commercial teams for the delivery of services across the estate, supporting the safe operation of all operational buildings for the benefit of service users, visitors and staff.
Key responsibilities include:
1. co-ordination of the rostering and day to day work of the Facilities Assistants
2. oversight of outstanding Facilities work orders, prioritisation of work, and chairing of weekly work review meetings
3. support for procurement of contracted services for the Facilities and Commercial teams
4. co-ordination of third-party contractor activities in support of the Facilities, Commercial, Environmental and Property Maintenance teams at Corporate Landlord sites
5. co-ordination of site access for contractors via the Site Access Permit system
6. monitoring of contractor activities to ensure compliance with the Site Access Permit requirements or compliance with contract SLAs
7. co-ordination and upkeep of Facilities and Commercial information and records
8. co-ordination of invoicing pertaining to the Facilities, Commercial & Contracts and Property Teams for the Corporate Landlord estate
9. co-ordination and attendance of key Facilities meetings, including Building User Group meetings.

Educated to GCSE or equivalent
Ideally IWFM Affiliate or Associate member
Ongoing commitment to continuous professional development
Demonstrates a good knowledge of customer facing facilities management services

Knowledge of the principles of facilities management and the ability to apply those within the Council
Experience of supporting projects to achieve required outcomes on time, within budget and to an acceptable level of quality
Good ICT skills and ability to use full MS Office programmes, including CAFM systems
Understanding of the role of Local Government and the issues and challenges faced within the public sector
Ability to adopt good customer and contractor relationships and communicate effectively with internal teams, contractors and suppliers
