Company Secretarial – Property Sector

Are you an experienced administrator looking for a new opportunity? Do you have experience of working within the Property Sector, or with Solicitors?

My client are a Property Management company, seeking an experienced Administrator to join their vibrant team in Portsmouth, Hampshire.

The role:

  • Responding to initial/follow up enquiries from Solicitors by issue of standard T&C’s.
  • Raising office invoices for issue to Solicitors.
  • Compiling draft replies within LPE1 questionnaires with assistance from PM’s
  • Receipt of Notices of Transfer, Assignment and or Charge
  • Requesting drafts of Deeds of Covenant and obtaining approval from Clients.
  • Completing internal process Proformas when a Lease Extension is granted and ensuring the ground rent schedules are amended (including when a lease has been extended but we were not advised, by obtaining copy lease via Land Registry).
  • Updating new Leaseholder and Freeholder information to database (Qube)
  • Requesting accounts raise initial demands following a change of Leaseholder.
  • To prepare and issue a welcome pack to new Leaseholders or Freeholders.
  • To assist with provision of an efficient service to landlords and leaseholders.
  • To assist with administration of non-managed properties (Ground Rent Collection & Client’s interests)
  • To draft licenses for alterations and consent licenses at direction of PM’s.
  • To issue letters of legal obligation on behalf of Freeholders to Right to Manage (RTM) Companies.
  • To assist with filing, scanning and on-going re-organisation of electronic filing in respect to work covered by this role.
  • To maintain records of all contact information for landlords and leaseholders.
  • To develop and maintain a culture of good public relations and customer care.

You will require:

  • Good level of experience in customer service and committed to providing a high standard of customer care.
  • Good public relation and communication skills, orally and written, good telephone manner.
  • Possess good IT skills particularly in Microsoft Office Suite; primarily word, excel & outlook. Experience of working with a database system e.g. Microsoft Access. Knowledge of QUBE Database is advantageous but not a pre-requisite.
  • An understanding of property management preferably blocks management and the relevant legislation.
  • Ability to communicate effectively with people at all levels, e.g. freeholders, lessees, solicitors, contractors etc.
  • An appreciation of the legislation framework relating to leasehold management.
  • To develop the ability to read, understand and apply relevant clauses within residential and commercial leases (technical documents).
  • Be a team player and be prepared to work from any of our offices or if necessary, from home.
