Estate Support Officer

A client of mine in West London is looking for an Estate Support Officer to join their team for a period of 3 months the main purpose of the role will be to work closely with the Contract Monitoring Officers and report to the Quality Monitoring Manager, lead the process for internal and external communication with key stakeholders in Estates Services, monitor performance and oversee the progress of projects, identifying the risks and help to quantify the outcomes and if they have achieved service improvement within the department.

Key Responsibilities:

Co-ordinating a timely and consistent approach to all communications within the department, including complaints, freedom of information requests and general enquiries.
Analyse and report on key performance data, identifying gaps in performance information held and highlighting areas of risk for the service.
Designate and project manage service improvement areas indicated as business critical.
Facilitate and plan service improvement meetings, away days as well as resident and stakeholder meetings as required.
Write and coordinating various papers and submissions for the housing services directorate.
Carry out background research around best practice, presenting findings and advising relevant service area.
Write documents, briefing papers, reports and presentations.
Liaise with other business areas and external service providers where service improvement projects overlap departments and /or organisations.
Lead on cross organisational projects or those involving external agencies or stakeholders;

Knowledge & Experience

A sound understanding of the Estate Services functions
Experience in or an understanding of performance management
Experience of attending meetings and recording and producing good quality minutes.
Demonstrate excellent interpersonal skills and be able to enlist co-operation from staff colleagues and stakeholders.
Good organisational skills and the ability to self-manage in terms of time and managing priorities.
Good knowledge of using Microsoft Excel (formulas, look ups etc) & Word packages.
A successful track record of contributing to continuous improvement in order to improve organisational performance, reduce costs and deliver increasing customer satisfaction.
Excellent communication skills both written and oral. Sufficient written and numerical ability to write complex and detailed reports as well as to provide clear and concise responses to correspondence or queries.
Ability to deliver information clearly, both orally and through the use of presentations, either to large or small groups
