A client of mine is looking to recruit a Facilities and Workspace Coordinator to assist in the closing down and moving of an office doe a team of Helpdesk, and Customer Service staff. This role will be a 3 month Fixed term contract with the possibility to extend by a couple of months, however not much longer then that. The working pattern would be 32 Hours Monday – Thursday (8am – 5pm). My client is looking for someone who has the following skills and attributes;

  • You will be responsible for dayto-day legislative works and effective management of contractors, while acting as first line response (via the Service Desk) as well as supporting the Facilities Managers with the delivery of the service ensuring emergency planning, health, safety & environmental compliance across all workspaces.
  • You will work collaboratively with your fellow Coordinators ensuring best practice contract management for all soft service contracts which includes, but is not limited to cleaning, stationery, catering, furniture, access control, visitor, desk & utilisation booking system, external space application and security.
  • You will be the visible part of the Workspace & FM Team, taking responsibility for the workspaces under your control while ensuring our customers, colleagues & contractors are supported and enabled to get the best out of their day.
  • Strong customer service skills
  • Meeting and Greeting Contractors
  • Ability to communicate well with a large team
  • Assist with directing contractors to the relevant areas
  • Transferring paper documents into IT form (desirable not essential)
  • Send communications to the wider team and let them know of any work or notices they need to be aware of

Experience

  • Have experience of working in a Workspace & Facilities Management role within a corporate environment.
  • Have experience of coordinating contracts & contractors.
  • Have experience of coordinating health & safety arrangements within the workspace.
  • Customers will be at the heart of all you do, you will have strong people skills with the ability to develop and maintain positive working relationships with all key stakeholders.
  • Have strong organisational skills, with the ability to organise and prioritise your own workload effectively.
  • Have a keen interest in workspace, FM, environment and sustainability and a drive to challenge what doesn’t work, to ensure our team continues to evolve to be the best we can be for the future of our organisation.
  • Have strong communication skills and be confident communicating with all key stakeholders, at all levels, while also being politically astute.
  • Be a very effective problem solver, armed with solutions.
  • Can respond positively and proactively to any emergency.

The working pattern would be 32 Hours Monday – Thursday (8am – 5pm)
